Mastering Consultations: Lessons from Gay Wardle

When we invited industry icon Gay Wardle to present her Mastering Complex Skin Conditions event, we knew she’d bring gold. What we didn’t expect was just how much her insights on consultation would resonate.

Consultation might seem like a routine pre-treatment step, but Gay made it clear: it’s the most important treatment you offer. Get it right, and you’ll transform your business. Get it wrong, and you’re leaving results (and revenue) on the table.

And here’s the clincher—you must value it enough to charge for it. You’re not “just chatting”; you’re using years of expertise to create a personalised skin health roadmap. That’s worth money. When you believe in yourself and your authority, your clients will too.

The Four Steps to a Powerful Consultation

1. Connect & Welcome

First impressions matter—within seven seconds, your client decides how they feel about you.
From the very first phone call, start building a relationship. Mention their name often, thank them for choosing your clinic, and make them feel genuinely special. On the day, greet them warmly, offer a seat, a drink, and set the tone for a collaborative journey.

2. Investigate with Purpose

This isn’t about ticking boxes on a clipboard—it’s about curiosity.
Ask open-ended questions and dig deep: What’s the concern? When did it start? What’s been tried before? Consider lifestyle factors, stress levels, gut health, and medications. Be a detective, not just a skin technician.

3. Analyse & Educate

This is where your expertise shines. Use your tools—skin analysis devices, your trained eye, and your knowledge—to explain what’s happening in their skin and why. Then educate them on exactly what’s needed to get results.
Be confident. Instead of “Would you like to try this?” say, “This is what we need to do to achieve your goals.” Use “we” to emphasise it’s a partnership—you’ll both be doing your part.

4. Close with Confidence

The close is where many therapists falter. Gay’s advice? Don’t leave the outcome open-ended. Avoid “Would you like to book in?” and instead say, “Let’s get started.”
If they’re not ready to commit, let them know you can’t deliver results without the right products and plan. This isn’t being pushy—it’s being professional and protecting your reputation.

Why Charging for Consultations Matters

When you charge for your consultation, you send a clear message: this time is valuable, and so is your expertise. Free consultations are often undervalued by the client. A paid consultation ensures they’re invested from the start—and clients who invest are far more likely to follow through.

As Gay put it, “Put yourself on a pedestal—you deserve to be there. You are the person they’re crying out for help from.”

The 30:70 Principle — A Mindset Shift for Profitability

Another standout point from Gay’s Masterclass was her 30:70 principle — the idea that 30% of a clinic’s income should come from treatments, while a much larger 70% should come from retail sales.

At first glance, this might sound surprising, especially for therapists who love the hands-on aspect of treatments. But as Gay explains, retailing is not about “selling” in a pushy sense — it’s about continuing the treatment beyond the treatment room

Clients spend a limited amount of time in your clinic, but they care for their skin every day at home. When you prescribe the right products, tailored to their needs, you’re not just increasing revenue — you’re ensuring that the results you achieve in-clinic are maintained and enhanced between visits.

Retail, in this sense, becomes an extension of the treatment plan, and a key driver of both client satisfaction and business growth.

Final Takeaway

Great treatments start with great conversations.

A well-structured consultation builds the foundation for trust, sets realistic expectations, and ensures every treatment is tailored to the individual’s needs. It’s also one of the most powerful tools you have for driving retail sales, building long-term relationships, and positioning yourself as the go-to skin expert in your clients’ lives. When you master consultation, you’ll not only master your business—you’ll create loyal clients who trust you, follow your advice, and achieve results they’ll rave about.

Just in case you don’t know Gay…

Gay Wardle is one of Australia’s most respected skin and beauty trainers, with four decades of industry experience and a Bachelor of Health Science in Dermal Therapies. Inducted into both the ABIA and Reed Exhibition Halls of Fame and named Educator of the Year in 2015, she brings unmatched expertise and passion to every conversation about skin health.  Gay is also a friend, and a colleague of Vital Plus.

We were honoured to host Gay’s Sydney event 2025 from our HQ in Mosman and met some wonderful clinicians in the process, all of whom were ready to extend their knowledge and become more empowered.  And we all know that when therapists are empowered with the right knowledge and tools, their clients benefit, their confidence grows, and their business flourishes.
